Receptionist / Bookkeeper

Duties and Responsibilities:

  • Daily mail to be filed in payable or receivable folders
  • Telephone courtesy to confirm who we are and to whom they are speaking
  • Prepare bank deposits
  • Pay monthly bills for the 1st and the 15th
  • Prepare new client project folders for administration and project Architects
  • Make entries into the Access billing system for client payments
  • Assist staff with project filing
  • Prepare payroll bi-monthly.

QUALIFICATIONS:

Required: 

  • Office management
  • Minimum five (5-8) years of experience 
  • Working knowledge of QuickBooks

LICENSING AND CERTIFICATION:

Required/Desired: 

  • Valid California driver’s license

KNOWLEDGE, ABILITIES, AND SKILL:

  • Experience in working with a team spirit
  • Ability to learn office procedures and have fun doing it
  • PC computer knowledge in Word, Access and Quick Books
  • Developing friendly relationships with clients, consultants and local agencies
  • Capable of meeting deadlines  
  • Punctual and organized
  • A desire to grow within the company
